GENERAL JOB DESCRIPTION
The Temporary Lands Administrator (LA-Temp) is a multi-faceted role, focused on superior
communication, both written and oral, while managing day-to-day and long-term administrative tasks.
As part of the DRFN Lands department, the LA-Temp will work with a diverse project team of staff and
multidisciplinary consultants on a short-term contract with possibility for extension doing this job or a
similar role. They will be responsible for planning, organizing, developing, controlling, and reporting
various projects and programs within the lands department. The LA-temp will require approachability, a
customer focus, flexibility and superior organization to ensure the department is running effectively,
priorities are managed, and deadlines are met.
DUTIES & RESPONSIBLIITES
General
• To ensure that the administrative functions of the lands department are met including record
keeping, clerical duties, filing and archiving, communication, scheduling, and others as outlined
below.
Consultation
• Referral administration including triaging, workflow, quality control and oversight.
• Completing referral responses and scheduling meetings.
• Referral filing, data & action management.
• Implementation and maintenance of our referral software.
Monitoring Coordination and Agreements
• Building & managing relationships with proponents and consultants who provide monitoring
opportunities to DRFN members.
• Establishing new monitoring agreements and renewing existing agreements.
• WSBC related tasks and actions.
• Ensuring safety focus is maintained
• Organizing training opportunities for monitors
• Establishing organizational processes and workflows related to monitoring which will improve
processes. This may include receiving task orders, tracking tickets and orientation, managing
agreements and invoicing, collecting monitoring data, etc.
• Monitoring coordination including sourcing members for monitoring opportunities and ensuring
employment prerequisites are met prior to work.
• Monitoring logistics, invoicing and time sheets as required.
Field Staff Coordination and Equipment Management
• Support implementation of our safety management system as it relates staff.
• Manage field staff logistics using technology and safety procedures
• Coordination of onboarding and training for staff and members.
• Collecting and tracking safety documentation for field staff.
• Equipment & asset inventory.
• Insurance management.
• Equipment bookings, repairs and maintenance coordination and invoices.
• Ensure all insurance and registration are sufficient and up to date.
Finances
• Managing and supporting the reporting and invoicing requirements in line with proponent
agreements.
• Supporting purchasing and transactions while upholding the finance policies.
Project Support
• Review and editing of project related documents.
• Participates in project working groups as needed.
• Supports project implementation as requested by other lands staff.
• May be expected to implement projects as needed.
Communications and Events Planning
• Supporting development of communication strategy and production and distribution of
material, including but not limited to:
• Posts on the website and social media
• Community newsletters and fliers
• Advertisements
• Quarterly reporting
• Council updates
• Briefing notes and articles
• Assists in the planning and hosting of meetings and events, including but not limited to the following duties:
• Budgeting
• Booking rooms and sending invitations
• Logistics
• Supplies
• Facilitation
• Scheduling meetings both internal and external, taking meeting minutes, and tracking actionable items.
• Performs other duties and assists with special projects as assigned by Lands and Resources
Manager.
Other
• Integrate Beaver culture and language into Department related communications as feasible.
• Attends training and workshops as required.
QUALIFICATIONS
Experience, Skills and Abilities
• Experience with safety programs, insurance and inventory management.
• Familiarity with accounting.
• Familiarity with administrative functions.
• Experience working in a fast-paced environment.
• Demonstrated strong organization, communication and time management skills.
• Effective Interpersonal skills in order to work effectively with guests, members, staff and
external stakeholders.
• Attention to detail and accuracy in written communications.
• Self-motivated with the ability to prioritize tasks and multi-task.
• Demonstrated ability to exercise judgement and discretion when handling confidential
information.
Knowledge
• Proficiency in Microsoft office software including Word, Excel, Teams, Outlook and PowerPoint
• Good keyboarding and writing skills
• Knowledge of or willingness to learn DRFN Indigenous culture and language
Education & experience
• Grade 12
• Post-secondary education (preferred)
• 2 years of related experience (preferred)
WORKING CONDITIONS
This position requires the incumbent to work in the office Monday to Thursday and from home on Fridays, 35 hours per week.
